How we collect, use and look after the personal information you share with us.

Last updated: 2 October 2026

Who we are

This website is run by Gwenova Limited, a company registered in England and Wales (company number 13722524), with its registered office at 7 Bell Yard, London, England, WC2A 2JR.

Gwenova Limited is the “data controller” for the personal information described in this policy. That means we decide how and why it is used, and we are responsible for looking after it.

If you have any questions about this policy or your information, email us at enquiries@gwenova.co.uk or call 07864 353155.

What information we collect

When you request a quote through our website, we collect:

  • your name, email address and phone number
  • the postcode of the property
  • details about your project, such as the property type, service needed, preferred start date and approximate budget
  • any photos you choose to upload
  • how you prefer to be contacted and how you heard about us
  • whether you have agreed to receive marketing from us

If you contact us by phone, email or WhatsApp, we keep the details you share with us in that conversation. If you become a customer, we also keep the information needed to carry out the work and for quotes, invoices and payments.

Please avoid including people in any photos you send. We only need to see the area where the work will be done.

How we use your information

We use your information to:

  • reply to your enquiry and prepare a quote
  • arrange, carry out and follow up on work you ask us to do
  • send quotes and invoices and keep business and tax records
  • send you occasional offers and news, but only if you have ticked the box to agree to this
  • keep our website secure and protect it from spam

We will never sell your information, and we will never publish photos you send us without your permission.

Our legal reasons for using your information

UK data protection law requires us to have a lawful basis for using your information. Ours are:

  • Steps before a contract: when you ask for a quote, we need your details to reply and prepare it.
  • Contract: when you become a customer, we need your details to carry out the work.
  • Legal obligation: we must keep certain business and financial records by law.
  • Consent: we only send marketing if you have agreed to it. You can withdraw your consent at any time.
  • Legitimate interests: keeping our website secure and free from spam.

Marketing

Our quote form includes an optional box to receive occasional offers and news from Gwenova. It is never ticked for you, and you do not need to tick it to get a quote.

If you agree and later change your mind, you can unsubscribe using the link in any marketing email, or tell us by email or phone. We will stop straight away.

Who we share your information with

We only share your information with trusted services that help us run the business, and only as much as they need:

  • Resend, which securely delivers the details and photos from our quote form to our email
  • Google, which provides our email (Gmail)
  • WhatsApp (Meta), if you choose to message us on WhatsApp
  • OpenStreetMap, which provides the map on our Our Work page. When the map loads, your browser requests map images from OpenStreetMap's servers, which see your IP address
  • Vercel, which hosts this website and keeps short-term technical logs, such as IP addresses, to keep it running securely
  • our accountant, and HMRC or other authorities, where the law requires it

Some of these services are based in, or store data in, the United States. Where information is transferred outside the UK, it is protected by the safeguards required by UK data protection law.

How long we keep your information

  • Enquiries that do not go ahead: we delete them, including any photos, within 12 months.
  • Customers: we keep records of the work, quotes, invoices and payments for 6 years after the job, as required for tax and accounting purposes.
  • Marketing: we keep your email address for marketing until you unsubscribe.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use your information
  • object to us using your information
  • ask us to transfer your information to another organisation
  • withdraw your consent to marketing at any time

To use any of these rights, email us at enquiries@gwenova.co.uk. There is no charge, and we will reply within one month.

Cookies

Our website does not use advertising or tracking cookies. If we ever add them, we will update this policy and ask for your consent first.

Keeping your information safe

We use secure, reputable services to receive and store your information, and only people at Gwenova who need it to handle your enquiry or job can access it.

Making a complaint

If you are unhappy with how we have handled your information, please contact us first and we will do our best to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top. See also our Website Terms.
